CANCELLATION POLICY

Notification of cancellation must be sent in writing to the organizing secretariat (octforum2027@aimgroup.eu). Cancellations will be accepted until November 30th 2026 , with a refund of all prepaid fees except for a 30% administration charge. No refunds will be made for cancellations received after this date.
All refunds will be processed and issued after the Congress.

UNEXPECTED CANCELLATION OF THE EVENT OR IMPOSSIBILITY TO HOLD IT

In the unlikely case that the 11th OCT & Retina Forum 2027 cannot be held in whole or in part due to any event beyond the Organisers’ control or force majeure (such as riot, fire, explosion, accident, flood, earthquake, sabotage, strikes, acts of law or regulation by Italian or foreign Authorities, epidemic outbreak, sanitary emergency, etc) the Congress Organisers cannot be held liable for any damage, cost, or loss incurred, such as registration fee, transportation and accommodation costs, or any other direct or indirect loss or consequential damage.

GROUP REGISTRATION PROCEDURE

The group registration procedure is available for a minimum of 2 participants and must be completed through the Company Area – Group Registration section.

  • The early bird registration fee will apply only if payment is received by the Organizing Secretariat no later than 18th December 2026, even if participant names have not been provided yet.
  • After December 18th 2026, the regular fee will apply to all group registrations that are not yet paid.
  • If payment is not received within the applicable fee deadline, the difference between the originally selected fee and the current applicable fee must be settled before registrations can be processed.
  • Participant names must be submitted online, and the group registration must be finalized by March 22nd 2027. For any additional names submitted after this deadline, the on-site fee will apply. After March 22nd, sponsors who wish to make name changes will be charged a handling fee of € 50.00 (VAT 22% included) per change.
  • Please note that only the Delegate fee applies to group registrations. For other registration categories, kindly proceed with individual registration.

Name changes – Only for group registrations
After March 23rd , sponsors who wish to make name changes will be charged a handling fee of € 50.00 (VAT 22% included) per change. A new registration form for each replacement participant will be required before the name change can be processed. Individual participants may request name changes only in exceptional cases.
